"Dear disappointed potential client, I want to apologize to you on behalf of the Greensmith team and address this situation with full transparency and detail. We should have followed through with your request in a more timely manner and given you better communication throughout the delay. On Friday (2/27) our full-time office staff received your call with the request of an estimate for yard cleanup. A "To-Do" was created in our system and assigned to me that same day. We did say that we will be out early next week to visit the property and gather the information we needed to give you an estimate. Our plan was to visit the property by Wednesday (3/4) and email an estimate to you by the end of the week (3/6). Our estimate turnaround time is generally much quicker, but we had a more than usual number of estimates to complete that week. This unfortunately did not happen, and I would like to explain why. We have seen huge demand for our services and have been working hard to put systems in place and train our team to continue offering the highest level of customer service and quality of product at a very competitive price. In preparation for the busy season, which came sooner than expected, we had two events happening that week which contributed to putting us behind by a couple days. Thursday (3/5), we had a full company meeting and training. Friday (3/6), we had a managers meeting and management training. Both myself and office staff were in these meetings all day on both days. Throughout these two days we were unable to answer the phones, but were planning on returning any messages left on our voicemail. Perhaps this is when you called and could not get through. We did not receive a voicemail from you. With every call we answer, we track and notate the details, date, and time stamp on the profile of each client or lead. We have no record of us answering a call from you after the first call you made to us on Friday (2/27). I'm sorry you were unable to get through over the phone, and we are continually making improvements to keep that from happening. On Monday (3/9) I realized we had missed your request and "dropped the ball" in communicating with you. So, I made it a priority to visited your home that day. On Tuesday (3/10) at 1:54 PM I called the phone number we have in our system and left a voicemail apologizing for the delay and asking for a returned phone call so I could go over your estimate with you. Also, on Tuesday (3/10) at 2:06 PM I sent an email stating that the estimate was completed. We have not received any calls or emails back. Despite our company meetings putting us behind on our estimates by a couple of days, we should have delivered what we promised. That is my fault, and I am sorry. We are working hard to make sure this does not happen again, and I am still desiring to make this right with you if you will allow us the opportunity. Sincerely, -President & Founder"
